Payment Options
Eventbrite
Payment options on Eventbrite include credit/debit card, Google Pay and PayPal. After purchasing your ticket, you will receive your digital ticket and automated invoice from Eventbrite.
Automated Eventbrite Invoices are issued in a standardised format and include the following information:
- Organiser name, address, and VAT ID
- Attendee organisation's name, address and VAT ID (if you require this information, please provide it during registration, using "A Business" section under 'Registration Type & Tax Receipt Information')
- Attendee name and address
- Invoice number and date
- Item description, quantity, price and total amount paid
- Information about Eventbrite as a ticketing partner
- We can’t change the information, or the order in which it appears on the automated Eventbrite invoice.
Invoice Payments
Alternatively you can request an invoice to facilitate bank transfer payments for which an additional administration charge of £45 will apply. Multiple delegates can be registered via one invoice, and a single charge will apply.
Please note that the invoice will be sent from the University of Edinburgh.
Invoicing Process:
- To request an invoice please fill in this form.
- Once we receive your completed form, we will check if your organisation already exists in our financial system and respond to you within 3-5 business days.
- If your organisation is listed and no Purchase Order (PO) number is required, the invoice will be raised and sent to the delivery address provided on this form.
- If a PO number is required but not provided, we will contact your nominated person to request it. The invoice will only be issued once the number has been received.
- If your organisation is not in our system, we will contact your nominated person to complete the paperwork to create a new customer account. This paperwork must be returned within two weeks of receipt.
- After we receive your payment, the attendee will be sent a registration link (via Eventbrite) to complete their details and download their conference ticket.
The deadline to request an invoice is 9 January 2026. Payment must be received by 31 January 2026.
Policies
Refund Policy
Registration Cancellation and Adjustments
- Full Refund: Cancellations submitted by 19 January 2026 will be eligible for a full refund minus any processing fees raised by Eventbrite or administrative fees for invoice payments.
- No Refund: No refunds will be processed for cancellations made on or after 19 January 2026.
- Ticket Transfer: Ticket transfers can be requested up until 1 February 2026 by emailing candidate details to idcc@dcc.ac.uk.
In the unfortunate event that your visa application is denied, we will refund your conference ticket upon receiving official proof of denial from the embassy. Please read more about Travel and Visa Requirements here.

Image and Video Policy
We will be taking photos during this event. If you do not wish for your photo to be taken, please remove yourself from the photo areas, let the photographer know, or say no thank you if the photographer asks for your image. Please read our images and videos privacy policy below:
